The job holder will be responsible for all administrative activities in support of multiple teams and report directly to the GOO VP Operations - Regions.

The Team Assistant is accountable for providing executive support, the main duties will include:
Detailed travel arrangements
Detailed calendar management
Schedule routine calls and events with key stakeholders
Set-up and support on-site/off-site meetings and conferences, including meeting room bookings, negotiating contracts, setting up catering, transportation, material preparation, etc.
Meeting management including agenda preparation and coordination of content and presenters
Oversee administration of Outlook distribution lists
Prepare letters, reports, PowerPoint presentations and assemble briefing packs and pre-read materials
Prepare monthly expense reports, including e-Expense tracking to resolve issues when needed
Reconcile monthly ProCard/Meeting Citicard expenses
Miscellaneous duties/tasks as required, such as organizing and streamlining the office space, office equipment and filing system
Strict confidence to be maintained in work environment
Special projects as requested

Operations staff play a significant role at all stages of the exploration and production cycle - providing input to a project from early appraisal all the way through to full production.

Essential experience and job requirements:
Demonstrates personal concern for the safety and well-being of others
Five to ten years of administrative experience, including an extensive track record working at an administrative level in an executive setting and managing activities in a professional manner
Coordinates and collates information on behalf of the team
Reviews emails and takes appropriate action
Practices digital security to ensure all emails are properly handled or reported
Candidates will have strong planning and organization skills and be able to act on their own initiative and show good judgment
Applicants will have strong writing, editing and content management system skills
Strong experience in MS Office and SharePoint
The successful candidate will be flexible, willing to handle a variety of responsibilities and take the initiative to manage tasks independently
Attention to detail and accuracy
Look for and take initiative to create and implement creative solutions to challenges within GOO administrative processes
Works in a pro-active manner, demonstrating a sense of urgency and energy to achieve results
